Job Description

Overview

  • Provide high-level administrative support to the executive team, managing schedules, correspondence, and travel arrangements with precision and professionalism.
  • Coordinate and oversee special projects, ensuring deadlines are met and objectives are achieved efficiently.
  • Draft and edit documents, presentations, and reports, maintaining accuracy and professionalism in all communications.
  • Organize and manage executive meetings, retreats, and events, including logistics and agenda preparation.
  • Build and maintain relationships with stakeholders, enhancing the executive's network and fostering positive interactions.
  • Streamline administrative processes to optimize workflow and maximize executive productivity.
  • Handle sensitive information with discretion, ensuring confidentiality in all discussions and documentation.
  • Stay informed about industry trends and recommend process improvements to enhance efficiency.

Key Responsibilities & Duties

  • Manage CEO's correspondence, including emails, letters, and calls, ensuring timely responses and prioritization.
  • Prepare daily agendas for meetings, tasks, and appointments, managing all calendaring and scheduling.
  • Collaborate with the PA on social gatherings, philanthropic events, and family appointments.
  • Track project progress, provide updates, and anticipate potential challenges.
  • Perform office tasks, including maintaining records and ordering supplies, ensuring operational efficiency.
  • Represent the executive in meetings and conferences, fostering positive relationships with stakeholders.
  • Implement systems for document management and information retrieval to streamline processes.
  • Plan and coordinate executive meetings and events, including logistics and follow-up actions.

Job Requirements

  • Bachelor’s degree preferred, with a minimum of 5 years of executive assistant experience.
  • Proficiency in Microsoft Office Suite, including Word, PowerPoint, Outlook, Excel, and Adobe Acrobat.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Strong verbal and written communication skills, including editing and proofreading capabilities.
  • Ability to function effectively in a high-paced and sometimes stressful environment.
  • Knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Experience in managing confidential information with discretion and integrity.
  • Flexibility and adaptability to meet dynamic executive support needs.
