Job Description

Title: People & Culture Coordinator

Key Responsibilities

Talent Acquisition (40%)

  • Post job openings and internships on the organization's careers page and external platforms.
  • Schedule and coordinate the weekly New Employee Orientation.
  • Maintain and distribute the weekly Staff Update.
  • Perform other tasks and projects as assigned.

HR Business Partner Support (40%)

  • Manage a variety of business processes in Workday, including approvals and communications.
  • Run regular reports to assist with tracking employee statuses (e.g., Limited Term employees, visa renewals, extensions).
  • Monitor and flag updates in the weekly Staff Update Report, ensuring correct documentation is filed.
  • Organize Staffing Review Committee files for P&C leadership and follow up on missing documentation.
  • Prepare monthly confirmation letters and audit events based on Workday updates.
  • Complete additional tasks and projects as assigned.

Organizational Development & Training (20%)

  • Coordinate training logistics, including scheduling, registration, materials preparation, and catering.
  • Provide administrative support for training and OD initiatives, such as maintaining supplies, preparing reports, and supporting large-scale projects like harassment prevention training and engagement surveys.
  • Process training-related expenses.
  • Handle additional tasks and projects as assigned.

Qualifications

Education & Experience:

  • 2+ years of experience in an administrative or support role, preferably within HR.

Skills & Abilities:

  • Strong organizational, planning, and time-management skills.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and other office software; familiarity with HRIS and Workday is a plus.
  • Exceptional communication skills, both oral and written.
  • Problem-solving mindset with a proactive approach.
