Job Description
Investment firm in Manhattan is seeking an Administrative Assistant to join their organization. The ideal candidate will have at least 3 years of administrative experience ideally with experience supporting senior executives. This opportunity begins as a 6-month contract with the opportunity to convert to a salaried position.
Hourly pay rate: $40-48/hr
Hours: 9-5
Hybrid Schedule, onsite Mon-Thurs, remote Friday
Responsibilities:
- Manage calendar and scheduling for senior executive and team, often arranging meetings across multiple time zones
- Book domestic and international travel, including flights and hotels
- Monitor heavy volume calls, e-mails appointments, and communication, screening calls and handling inquiries
- Coordinate with other teams and work on special projects as requested
- Prepare executives for meetings, ensuring files and any paperwork is prepared
- Review incoming communication and prioritize and summarize content
- Maintain accurate paper and electronic filing
- Process and review expenses
- Assist with planning and coordinating company events
Requirements:
- Bachelor’s degree preferred
- Minimum 3 years of administrative experience, ideally out of professional services
- Proficiency with Microsoft Office Suite and Outlook
- Excel and analytics experience a plus, not a requirement, will train on projects
- Able to handle confidential information with complete discretion
- Critical thinker with excellent judgment and ability to provide solutions independently
- Excellent communicator with team and executives
- Flexible attitude with the ability to work in a fast-paced environment and multi-task/prioritize
