Job Description

Title: Executive Assistant to CEO

Key Responsibilities:

  • Manage an extremely dynamic calendar with shifting priorities and complex internal/external scheduling
  • Prepare the CEO for meetings, presentations, and travel through thoughtful agenda planning and briefings
  • Coordinate all travel logistics—flights, hotels, car service, visas, and on-the-ground adjustments—with no room for error
  • Monitor the CEO’s inbox, communications, and task flow; assist with real-time triaging and prioritization
  • Liaise with internal teams, investors, and executive stakeholders to ensure seamless coordination across departments
  • Maintain pulse on business priorities to help translate organizational needs into time management decisions
  • Execute personal responsibilities, such as purchasing gifts, coordinating personal travel, and managing family or household logistics
  • Act as a trusted sounding board and filter for requests coming in from all directions
  • Handle sensitive information with absolute confidentiality and professionalism

Ideal Candidate Profile:

  • 10–12 years of experience supporting C-level leadership in fast-paced industries such as private equity, hedge funds, tech, or founder-led businesses
  • Experience supporting a high-profile or high-net-worth executive, with comfort navigating executive-level etiquette and discretion
  • Background that includes both corporate executive support and elements of personal assistance
  • Strong command of scheduling with business acumen—able to protect the CEO’s time by aligning her calendar with strategic goals
  • Presence and communication style that is warm, composed, and confident; able to hold your own in conversations with senior leaders
  • High emotional intelligence; knows when to be direct, when to step in, and when to step back
  • Master of logistics, travel, and last-minute pivots—thinks five steps ahead, stays calm under pressure
  • Proactive problem solver who doesn’t wait to be told what’s needed
  • Professional polish and situational awareness; understands the pace, standards, and intensity of a top-tier executive office
  • Degree preferred; equivalent experience considered
