Job Description
A New York-based investment firm is seeking an experienced Executive Assistant to support the President and assist with select projects across the broader leadership team. This is a high-visibility role that requires exceptional organization, discretion, and the ability to thrive in a fast-paced, professional environment. The position is open due to an internal transfer.
Salary: $130-150K base
Hours: 8:30-5:30pm
Schedule: The role is on-site five days per week
Responsibilities:
- Provide high-level executive support including calendar management, travel coordination, and meeting preparation
- Act as a liaison, prioritizing requests and managing internal and external communications
- Prepare and edit professional correspondence, reports, presentations, and other documents
- Coordinate meetings and events, including logistics, agendas, and follow-up
- Manage complex scheduling across time zones and with multiple stakeholders
- Handle sensitive and confidential information with integrity
- Support special projects and initiatives on behalf of the President
- Build and maintain relationships with internal teams, board members, and external partners
Qualifications:
- Must have 10+ years of experience supporting senior executives, ideally in a financial services or fast-paced corporate environment
- Bachelor’s degree required
- Advanced proficiency in Microsoft Office Suite and collaboration tools such as Google Workspace, Slack, and Zoom
- Exceptional organizational skills and attention to detail
- Excellent written and verbal communication skills
- High emotional intelligence and a polished, professional presence
- Ability to remain calm under pressure and manage multiple priorities effectively
