Job Description

A New York-based investment firm is seeking an Executive Assistant to support one of its growing teams. This is an exciting opportunity to work alongside a high-performing, collaborative group in a fast-paced environment.

Salary: 100-120K base

Hours: 8:30am-5:30pm

Schedule: The role is on-site five days per week

Responsibilities:

  • Provide day-to-day administrative support
  • Manage complex calendars, including scheduling across multiple time zones
  • Coordinate individual and group travel logistics
  • Prepare and submit team expenses and compliance documents
  • Organize and manage small- to mid-sized events, including multi-day functions
  • Oversee internal project tracking systems and timelines
  • Support contract processes, reporting, and document organization
  • Schedule external meetings and coordinate communication across departments
  • Prepare materials and maintain data rooms for meetings and projects
  • Collaborate closely with other EAs and internal stakeholders

Qualifications:

  • 3–5+ years of experience as an administrative assistant, office manager, or project manager
  • Bachelor’s degree preferred
  • Highly organized, proactive, and detail-oriented
  • Strong verbal and written communication skills
  • Comfortable managing multiple priorities in a fast-paced setting
  • Tech-savvy and proficient in modern collaboration and productivity tools
  • Warm, professional demeanor and a team-first attitude
