Job Description
Title: Administrative Assistant
Key Responsibilities:
- Draft and distribute memos, notices, and updates to building residents and staff
- Answer phone calls and direct resident inquiries to the appropriate contact
- Maintain electronic and physical filing systems for unit files and building documentation
- Provide general support to the property managers for daily scheduling, vendor coordination, and board communication
- Assist with documentation related to unit transfers, lease renewals, and compliance tracking
- Handle light office coordination tasks and front desk reception duties as needed
Qualifications:
- 3–5 years of administrative experience, ideally supporting a real estate, property management, or co-op/condo-focused environment
- Familiarity with building operations or prior experience in a Transfer Agent role is a plus
- Excellent written and verbal communication skills
- Highly organized with the ability to prioritize multiple tasks in a deadline-driven setting
- Comfortable working in a professional, front-office environment and interfacing directly with residents
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
