Job Description

Title: Administrative Assistant

Key Responsibilities:

  • Draft and distribute memos, notices, and updates to building residents and staff
  • Answer phone calls and direct resident inquiries to the appropriate contact
  • Maintain electronic and physical filing systems for unit files and building documentation
  • Provide general support to the property managers for daily scheduling, vendor coordination, and board communication
  • Assist with documentation related to unit transfers, lease renewals, and compliance tracking
  • Handle light office coordination tasks and front desk reception duties as needed

Qualifications:

  • 3–5 years of administrative experience, ideally supporting a real estate, property management, or co-op/condo-focused environment
  • Familiarity with building operations or prior experience in a Transfer Agent role is a plus
  • Excellent written and verbal communication skills
  • Highly organized with the ability to prioritize multiple tasks in a deadline-driven setting
  • Comfortable working in a professional, front-office environment and interfacing directly with residents
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
