    Billing Specialist will be responsible for preparing and finalizing invoices, reviewing time and disbursement records, and addressing compliance issues. This role involves close collaboration with attorneys, clients, and colleagues.

Job Description

Key Responsibilities:

  • Inventory Monitoring: Monitor unbilled inventory for assigned clients and ensure invoices are prepared and finalized promptly.
  • Billing Reports and Analysis: Generate billing reports and conduct analysis to ensure accuracy and compliance.
  • Compliance Review: Review client guidelines and rate arrangements to ensure invoices meet all requirements.
  • Invoice Preparation: Prepare monthly and transactional bills, incorporate edits and revisions, prepare final invoices, obtain approving signatures, post bills, and maintain billing files.
  • Adjustments and Transfers: Process transfers, write-offs, and adjustments as needed.
  • Issue Resolution: Collaborate with partners, legal, and support staff to resolve any billing issues promptly and ensure accuracy.
  • E-Billing Coordination: Work with E-Billing Specialists to ensure successful transmission of invoices.
  • Reporting: Accurately and comprehensively report to management on the status of assigned objectives and responsibilities.
  • Special Projects: Assist with special projects as needed.
  • Automated Billing Processes: Implement AI-driven solutions to automate billing processes, ensuring efficiency and accuracy.
  • Predictive Analytics: Utilize AI to forecast billing trends and provide insights for strategic decision-making.
  • Data Analysis: Leverage AI tools to analyze billing data, identify patterns, and optimize billing strategies.
  • Client Communication: Use AI-powered chatbots to handle routine client billing queries, ensuring timely and accurate responses.
  • Error Detection: Employ AI to detect and correct billing errors, enhancing overall accuracy.
  • Reporting Automation: Generate automated billing reports using AI, reducing manual effort and improving turnaround time.

 

Requirements:

  • Experience: Minimum of 2 years of legal billing experience at a large law firm; Aderant experience preferred.
  • Technical Skills: Proficiency in Excel and familiarity with legal billing software databases.
  • Organizational Skills: Highly organized and attentive to detail.
  • Adaptability: Ability to adapt to changing priorities and work demands.
  • Team Collaboration: Ability to work effectively both independently and within a team environment.
  • Communication Skills: Proficient in communicating effectively with attorneys, administrative assistants, and clients.
  • Confidentiality: Maintain strict confidentiality of all client, matter, and timekeeper information.
  • Dedication: Must have a strong desire and dedication to work, including willingness to work overtime as needed to meet deadlines and manage workload.
