Job Description

Title: Senior Administrative Assistant

Responsibilities

  • Coordinate grant and consultant contract workflows: track deliverables, manage agreement input, and monitor progress through internal systems
  • Process and code invoices, credit card reconciliations, and out-of-pocket expenses; collaborate with finance for timely payment tracking
  • Support expense reporting and assist in budget prep by gathering financial inputs and submitting through internal platforms (Workday, SmartSimple)
  • Draft and format correspondence, program materials, and presentation decks
  • Maintain shared documentation in Excel, SharePoint, CRM platforms, and other internal systems
  • Schedule and coordinate logistics for internal/external meetings, conferences, and special events (including catering, space, tech, and materials)
  • Compile program data and generate tables, charts, and summaries for internal and donor-facing reporting
  • Manage travel arrangements and calendars for team members; handle general administrative tasks as needed
  • Provide backup and team support across special projects or overflow assignments

Qualifications

  • High school diploma required; bachelor’s degree preferred
  • At least 5 years of experience in an administrative or operations support role
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint) and working knowledge of platforms such as SharePoint, Workday, or similar systems
  • Excellent attention to detail, with the ability to prioritize competing deadlines and maintain accuracy
  • Strong written and verbal communication skills, with a collaborative and adaptable mindset
  • Experience in environmental or nonprofit organizations is a plus, but not required
  • Must be comfortable working with sensitive data and coordinating across departments
