Job Description

Title: International Programs Specialist

Responsibilities

  • Serve as the primary administrative support for the international programs team, including responding to inquiries, coordinating travel logistics, and maintaining program schedules
  • Organize all aspects of international travel and accommodations for program participants, staff, and leadership delegations
  • Coordinate with finance and legal teams to ensure proper documentation, expense reimbursements, and visa requirements for all international activities
  • Provide scheduling support and prepare briefing materials, agendas, reports, and correspondence for meetings with partner organizations
  • Facilitate scholar exchanges and residency program placements, including travel arrangements, housing, and scheduling for both domestic and international participants
  • Support event planning and logistics for international educational programming, including onsite and virtual meetings, annual conferences, and global symposia
  • Track participant feedback and develop post-program surveys to assess outcomes and identify improvement opportunities
  • Liaise with other departments to ensure cross-functional alignment, especially for membership onboarding, communications, and educational content
  • Maintain department records, manage internal documents, and provide general project support for international initiatives

Qualifications

  • Associate degree required; Bachelor’s degree preferred
  • 3–4 years of relevant administrative or program coordination experience
  • Prior experience making international travel arrangements is required
  • Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • High level of attention to detail and ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Strong cultural awareness and interest in working with international partners
  • Ability to work independently while maintaining alignment with team goals
