Job Description

Overview

  • Coordinate construction projects by managing administration, documentation, and compliance tasks to ensure smooth and efficient operations.
  • Support project teams with procurement, permitting, and submittals to facilitate timely project progress.
  • Collaborate with various departments to align contract and billing information for seamless execution.
  • Organize project documentation using construction software systems to maintain accuracy and compliance.
  • Assist in project closeout by collecting and delivering final documentation packages.
  • Contribute to issue resolution and provide updates to field and office teams.
  • Ensure adherence to company standards and deadlines while managing multiple priorities.

Key Responsibilities & Duties

  • Prepare and track subcontracts and purchase orders, maintaining compliance records and renewals.
  • Assist with project billing and verify required documentation for accuracy.
  • Organize project folders and documentation in project management software systems.
  • Review and track submittals, focusing on early-phase materials and permitting processes.
  • Collaborate with project managers, accounting, and preconstruction teams for contract alignment.
  • Audit project files for compliance and provide updates to relevant teams.
  • Collect and organize project closeout materials, preparing final packages for delivery.
  • Support administrative and coordination tasks to ensure project success.

Job Requirements

  • Bachelor of Science (BS) degree required, preferably in a related field.
  • 3–5 years of experience in the construction industry, with mid-level expertise.
  • Proficiency in construction software such as Procore, Bluebeam, and Microsoft Office.
  • Strong organizational and communication skills to manage multiple priorities effectively.
  • Detail-oriented and proactive, with a solid understanding of contracts and billing processes.
  • Ability to meet deadlines and ensure compliance with company standards.
