Job Description

Overview

  • Perform essential bookkeeping tasks including cash receipts, disbursements, accounts payable, and reconciliation to ensure accurate and timely financial data preparation.
  • Collaborate with accounting teams to maintain vendor records, process invoices, and manage electronic workflows efficiently.
  • Utilize accounting systems to integrate daily postings, reconcile accounts, and prepare adjusting journal entries.
  • Support audit preparation by maintaining schedules for balance sheet and income statement accounts.
  • Ensure compliance with procedural standards and deadlines outlined in departmental calendars.
  • Operate office equipment and software including Microsoft Office Suite and accounting systems with proficiency.
  • Work in a structured office environment with standard conditions and a set work schedule.
  • Engage in continuous learning to adapt to procedural changes and enhance knowledge of accounting terminology.

Key Responsibilities & Duties

  • Process accounts payable invoices, assign general ledger account numbers, and scan documents into electronic workflows.
  • Maintain vendor records, request identification numbers, and manage EFT information within the accounting system.
  • Download deposit files, generate automated journal entries, and reconcile accounts receivable balances.
  • Prepare adjusting journal entries for contribution reports and accounts receivable activities.
  • Reconcile lockbox deposits and resolve discrepancies with local collection agents and employer services.
  • Research outstanding checks, void and reissue stale-dated checks as necessary.
  • Prepare schedules for audit activities and maintain monthly depreciation schedules.
  • Generate reports for trustees and executive management as assigned by supervisors.

Job Requirements

  • Associate of Science degree in Accounting or a related field is required.
  • Minimum of 3 years of bookkeeping experience, with 5 years preferred.
  • Proficiency in Microsoft Office Suite, including Excel and Word, is essential.
  • Demonstrated ability to operate accounting systems and perform reconciliations accurately.
  • Strong communication skills for effective correspondence and telephone interactions.
  • Ability to adapt to procedural changes and meet firm deadlines in a structured environment.
  • Capability to perform detailed research and solve problems within assigned functions.
  • Willingness to join a union and comply with associated requirements upon conversion.
