Overview
- Coordinate and manage client and caregiver schedules to ensure seamless service delivery and optimal coverage.
- Handle on-call responsibilities every other week, addressing emergencies and scheduling adjustments promptly.
- Maintain accurate and up-to-date records of client and caregiver information in the scheduling database.
- Support continuous quality improvement by matching caregivers to clients based on needs and preferences.
- Perform general office duties, including reception coverage, document management, and communication tasks.
- Facilitate introductions between caregivers and clients to ensure smooth transitions and relationship building.
- Participate in onboarding and orientation processes for new hires, ensuring proper administrative setup.
- Monitor service delivery to maintain quality standards and client satisfaction.
- Stay current with scheduling software and technology to enhance operational efficiency.
Key Responsibilities & Duties
- Schedule client appointments and caregiver visits based on service plans and staff availability.
- Maintain staffing levels to ensure adequate coverage for all clients at all times.
- Create and release weekly schedules for caregivers, ensuring accuracy and consistency.
- Document schedule updates and changes, ensuring timely communication with clients and caregivers.
- Address client and caregiver concerns, escalating issues to management when necessary.
- Perform administrative tasks such as data entry, mail sorting, and telephone services.
- Provide caregivers with updated care plans and instructions to ensure quality service delivery.
- Participate in new hire orientations and assist with onboarding processes.
- Ensure compliance with HIPAA regulations and company policies.
Job Requirements
- High School Diploma or GED required; additional relevant training or experience preferred.
- Minimum of 1 year of patient scheduling experience, preferably in a home care setting.
- Proficiency in scheduling software such as WellSky or ClearCare, and ability to adapt to new systems.
- Strong knowledge of Microsoft Office Suite or Google Suite applications.
- Effective communication skills, both written and verbal, for client and caregiver interactions.
- Ability to evaluate situations and make decisions using critical thinking and reasoning.
- Experience with basic medical terminology and its application in scheduling processes.
- Willingness to work on-site and handle remote on-call responsibilities as required.
- Commitment to maintaining high standards of quality and compliance with regulations.
