Overview
- Serve as the primary legal secretary in a dynamic law office, supporting a team of lawyers across various practice areas.
- Handle administrative tasks, including document preparation, scheduling, and communication with clients and court officials.
- Ensure compliance with court rules and procedures through accurate document formatting and e-filing.
- Coordinate travel arrangements and manage expense reporting for assigned lawyers.
- Support the onboarding of new clients, including conflict checks and billing setup.
- Collaborate with other administrative staff to ensure seamless office operations and client satisfaction.

Key Responsibilities & Duties
- Prepare, format, and proofread legal documents, ensuring compliance with court rules and accuracy.
- Manage calendars, schedule appointments, and coordinate meetings for assigned lawyers.
- Perform e-filing tasks for state and federal courts, ensuring timely submissions.
- Assist with timekeeping, billing, and accounting tasks to support client engagements.
- Coordinate travel arrangements and process expense reports for lawyers.
- Monitor and respond to calls and emails, ensuring effective communication with clients and staff.
- Support pre-trial, trial, and post-trial activities for litigation cases.
- Collaborate with other secretaries and administrative staff to meet firm and client needs.
Job Requirements
- High school diploma or GED required; additional certifications in legal studies preferred.
- Minimum of 5 years of experience as a legal secretary, preferably supporting litigation and transactional lawyers.
- Proficiency in Microsoft Office Suite and legal document formatting software.
- Strong knowledge of state and federal court e-filing procedures and discovery processes.
- Excellent organizational, communication, and problem-solving skills.
- Ability to work under pressure and manage multiple priorities effectively.
- Experience with timekeeping, billing, and client onboarding processes.
- Comfortable working in a fast-paced environment and taking initiative to assist with various tasks.
