Job Description

Overview

  • Provide comprehensive support to the Litigation Department, assisting with legal documentation and court proceedings.
  • Contribute to the preparation and maintenance of litigation files and electronic case records.
  • Assist in scheduling and coordinating meetings with internal and external stakeholders.
  • Support tracking functions and generate reports on a daily, weekly, and monthly basis.
  • Collaborate with the legal team to ensure efficient management of court calendars and timelines.
  • Develop expertise in electronic programs utilized by the Litigation Department.
  • Engage in special projects and requests to support departmental objectives.
  • Opportunity to gain exposure to housing court litigation processes.

Key Responsibilities & Duties

  • Draft, prepare, and file litigation and pre-litigation documents for legal proceedings.
  • Assist in creating and maintaining electronic case files and litigation records.
  • Coordinate and schedule meetings with stakeholders and external counsel.
  • Prepare warrants and communicate with the Marshall’s office regarding evictions.
  • Maintain and update the court calendar to ensure prompt and transparent scheduling.
  • Support the preparation of legal case timelines and detailed write-ups.
  • Utilize software tools like Yardi, MRI, and Asana for departmental operations.
  • Contribute to special projects and initiatives as required by the department.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • 1-3 years of administrative assistant experience, with 6 months in a legal environment preferred.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Strong analytical and problem-solving abilities with attention to detail.
  • Excellent communication and interpersonal skills to align team efforts.
  • Ability to adapt to new technologies and thrive in a fast-paced environment.
  • Flexibility to manage competing responsibilities and last-minute requests.
  • Desire to grow professionally and take on increasing responsibilities.
