Job Description

Overview

  • Provide essential support to attorneys in commercial real estate transactions.
  • Coordinate and organize complex transaction documents for real estate deals.
  • Maintain and manage databases, files, and due diligence materials.
  • Prepare and distribute signature pages and compile closing binders.
  • Conduct entity searches and prepare formation documents, resolutions, and notices.
  • Order and review lien searches and corporate organizational documents.
  • Assist with closings, including document preparation and coordination.
  • Communicate with clients, title companies, and government agencies.
  • Collaborate with other departments to streamline processes.

Key Responsibilities & Duties

  • Prepare and interpret complex transaction documents related to real estate matters.
  • Organize, review, and maintain due diligence materials and transaction files.
  • Coordinate and finalize closing documents and binders.
  • Conduct entity searches and prepare legal formation documents.
  • Order and review lien searches and corporate organizational documents.
  • Prepare and file UCC financing statements and other legal documents.
  • Communicate with external parties for document delivery and clarifications.
  • Train team members and coordinate tasks to ensure efficiency.
  • Participate in professional development programs and firm-wide initiatives.

Job Requirements

  • Bachelor’s Degree in a relevant field is preferred.
  • Minimum of 10 years of commercial real estate and paralegal experience.
  • Proficiency in MS Office Suite, NYC ACRIS, and legal billing processes.
  • Strong organizational skills for managing transaction documents and databases.
  • Ability to prepare and file UCC financing statements and legal documents.
  • Experience in coordinating closings and preparing closing binders.
  • Excellent communication skills for interacting with clients and external parties.
  • New York Notary certification is required.
  • Willingness to work overtime and travel as needed.
