Job Description

Overview

  • Provide essential administrative support in a dynamic office environment, ensuring smooth daily operations.
  • Handle reception duties, including answering phones and greeting guests professionally.
  • Manage incoming and outgoing mail, ensuring timely delivery and organization.
  • Maintain conference and meeting rooms, ensuring readiness for scheduled events.
  • Assist with maintaining the breakroom and other shared spaces effectively.
  • Handle confidential client information with discretion and professionalism.
  • Support various administrative tasks as requested by management.
  • Contribute to process improvement initiatives for enhanced efficiency.

Key Responsibilities & Duties

  • Answer and direct phone calls, providing excellent customer service to callers.
  • Welcome visitors and clients, ensuring a positive and professional experience.
  • Organize and distribute mail, packages, and other correspondence efficiently.
  • Prepare conference rooms for meetings, including setup and cleanup.
  • Maintain office supplies inventory and reorder as necessary.
  • Assist in preparing reports, presentations, and other documentation.
  • Ensure compliance with company policies and procedures in all tasks.
  • Collaborate with team members to achieve organizational goals.

Job Requirements

  • High School Diploma or GED equivalent required; Bachelor’s degree preferred.
  • Minimum of three years of administrative experience in a professional setting.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Exceptional written and oral communication skills with attention to grammar and detail.
  • Strong organizational skills and ability to manage multiple tasks effectively.
