Job Description

Overview

  • Manage and oversee billing operations, ensuring accurate and timely invoice preparation and submission.
  • Collaborate with attorneys and staff to address billing inquiries and maintain compliance with guidelines.
  • Handle complex billing scenarios, including discounts, split-party billing, and electronic submissions.
  • Maintain up-to-date billing arrangements and instructions for seamless operations.
  • Utilize advanced billing software to streamline processes and enhance efficiency.
  • Contribute to special projects and provide backup support to team members.
  • Ensure accuracy and compliance in all billing activities and documentation.
  • Participate in continuous improvement initiatives to optimize billing workflows.

Key Responsibilities & Duties

  • Prepare and process attorney bills monthly, ensuring precision and adherence to deadlines.
  • Review and edit pre-bills based on attorney and secretary feedback.
  • Monitor and manage unbilled inventory, applying retainer funds as per policies.
  • Resolve billing issues promptly, including electronic submission challenges.
  • Verify billing documentation for accuracy and address discrepancies effectively.
  • Communicate with attorneys, secretaries, and clients to resolve billing matters.
  • Assist in special projects and support team members as required.
  • Implement and maintain billing software systems for operational efficiency.

Job Requirements

  • Bachelor’s degree in accounting, finance, or a related field is required.
  • Minimum of 5 years of billing experience, preferably within a law firm environment.
  • Proficiency in legal billing software such as 3E or eHUB is preferred.
  • Strong skills in Microsoft Excel and Word; familiarity with Smartsheet is advantageous.
  • Excellent analytical, communication, and problem-solving skills.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Detail-oriented and organized with a commitment to accuracy.
  • Flexibility to adapt to various work situations and willingness to work extra hours as needed.
