- Provide high-level administrative support to legal professionals in a dynamic and fast-paced law firm environment.
- Coordinate office workflows and procedures to ensure efficiency and adherence to firm policies.
- Assist in preparing, formatting, and proofreading legal documents for transactional and litigation matters.
- Manage client onboarding processes, including conducting conflict checks and assigning billing details.
- Support multiple attorneys by organizing clerical functions to meet administrative and client needs.
- Coordinate travel arrangements and process expense reports efficiently for legal professionals.
- Maintain accurate and organized client files and records using advanced document management systems.
- Schedule and organize meetings, conferences, and appointments using firm-specific software tools.
- Foster a safe and organized work environment while upholding firm standards and practices.
Key Responsibilities & Duties
- Prepare, format, and finalize legal documents, correspondence, and memoranda with precision and attention to detail.
- Collaborate effectively with peers and support staff to achieve firm and client objectives.
- Manage attorney time entries, ensuring compliance with client billing requirements and accuracy.
- Coordinate travel arrangements and process related expenses for legal professionals promptly.
- Proofread legal documents to ensure grammatical and syntactical accuracy and consistency.
- Handle incoming and outgoing communications, including mail and telephone calls professionally.
- Schedule and coordinate meetings, conferences, and appointments using specialized tools.
- Maintain client information and calendars using firm-approved software and procedures.
- Support client billing processes in collaboration with billing services to ensure accuracy.
Job Requirements
- High school diploma or GED required; additional certifications in legal administration are advantageous.
- Minimum of 5 years of relevant experience in legal administrative support roles.
- Proficiency in Microsoft Office Suite, NetDocs, Adobe Pro, and other legal-specific software.
- Ability to type accurately at a minimum speed of 60 words per minute.
- Strong knowledge of legal terminology, document formats, and administrative procedures.
- Experience in coordinating travel arrangements and managing expense reports effectively.
- Excellent organizational and multitasking skills to manage multiple assignments simultaneously.
- Ability to maintain confidentiality and demonstrate professionalism in all interactions.
- Familiarity with document management systems and client billing processes is essential.
