Job Description

Overview

  • Coordinate day-to-day operations and community engagement for the Richmond office.
  • Provide administrative support to senior leadership and multiple departments.
  • Ensure a seamless workplace experience for internal and external clients.
  • Organize travel arrangements and event planning for office activities.
  • Manage office supplies, invoicing, and vendor relations effectively.
  • Maintain office security and property management liaison responsibilities.
  • Communicate internal messaging and coordinate meetings and conferences.
  • Handle multiple projects and maintain accurate documentation systems.

Key Responsibilities & Duties

  • Provide operational and logistical support to ensure smooth office functioning.
  • Act as the first point of contact for internal and external parties.
  • Organize travel arrangements and prepare detailed itineraries.
  • Plan and coordinate office events, meetings, and volunteer initiatives.
  • Manage inventory, track orders, and ensure workspace organization.
  • Oversee vendor relations and handle invoicing and expense management.
  • Ensure office security and manage access control procedures.
  • Communicate operational updates and support conference room coordination.
  • Maintain accurate documentation and filing systems for office operations.

Job Requirements

  • Bachelor of Arts degree required, with a focus on organizational skills.
  • Minimum of 3 years of experience in office management or coordination.
  • Proficiency in Microsoft Office applications; Google Suite is a plus.
  • Experience with platforms like Workday, Salesforce, Coupa, and Egencia.
  • Exceptional organizational and multitasking skills under deadlines.
  • Strong written and verbal communication abilities.
  • Ability to work occasional early mornings, evenings, or weekends.
