Job Description

Overview

  • Serve as a Client Services Associate in a hybrid work environment, delivering superior service to clients and third-party entities.
  • Collaborate with internal teams to maintain exceptional standards of service and hospitality within a dynamic and fast-paced setting.
  • Process cash and security transfers, establish new accounts, and prepare tax reporting for clients.
  • Utilize portfolio management software to manage and report client information and transactions accurately.
  • Support investment teams with trade initiation and portfolio strategy implementation.
  • Coordinate monthly statements, quarterly management fees, and alternative investment valuations.
  • Interact across all levels of the organization, fostering collaboration and teamwork.
  • Contribute to an inclusive and diverse workplace environment, promoting equity and representation.

Key Responsibilities & Duties

  • Communicate frequently with clients, acting as a liaison between the team and clients to troubleshoot issues promptly.
  • Handle client and accountant queries, establish custodial accounts, and assist with necessary documentation.
  • Manage portfolio cash flow, including recurring and ad hoc cash and security transfer requests.
  • Support investment teams with trade initiation and general portfolio strategy execution.
  • Maintain client information within portfolio management software, reviewing transactions and activity for accuracy.
  • Coordinate monthly client statements and quarterly management fees efficiently.
  • Collaborate with all levels of staff and management to ensure seamless operations.
  • Promote a client-first attitude, prioritizing exceptional service and hospitality.

Job Requirements

  • Bachelor of Science (BS) degree required, with 1-3 years of relevant work experience preferred.
  • Proficiency in MS Word, Excel, Outlook, CRM software, ACH, and wire transfers.
  • Experience with portfolio management software such as Advent APX is advantageous.
  • Knowledge of portfolio administration and various custodial interfaces preferred.
  • Ability to prioritize and manage multiple tasks effectively in a fast-paced environment.
  • Demonstrated ability to work with private high-net-worth or institutional clients.
  • Strong team player with a client-first attitude and collaborative mindset.
