Job Description

Overview

  • Provide administrative support to the CEO, ensuring seamless daily operations and high-level confidentiality.
  • Assist with computer and phone functions, including setting up remote meetings and managing correspondence.
  • Handle scheduling, calendar management, and coordination of meetings and travel arrangements.
  • Draft and edit professional-quality reports, presentations, and correspondence.
  • Maintain records, compile data, and prepare statistical materials as needed.
  • Support other executive team members with administrative tasks as required.
  • Ensure a positive and efficient office environment while maintaining discretion with sensitive information.
  • Comfortable working in an environment with service animals, ensuring inclusivity and professionalism.
  • Position is onsite with potential for hybrid work arrangements in the future.

Key Responsibilities & Duties

  • Perform a wide range of confidential administrative and secretarial duties for the CEO and executive team.
  • Draft and edit correspondence, reports, and meeting minutes with attention to detail.
  • Coordinate and schedule appointments, meetings, and travel arrangements.
  • Prepare agendas, notices, and schedules for meetings and conferences.
  • Compile and analyze data for inclusion in reports and presentations.
  • Maintain office supplies and department equipment, ensuring operational efficiency.
  • Handle receptionist duties and provide information to stakeholders as needed.
  • Ensure security and confidentiality of sensitive information and documents.
  • Establish and maintain positive relationships with clients, staff, and relevant parties.

Job Requirements

  • Bachelor’s degree or equivalent experience preferred; entry-level candidates with relevant skills encouraged to apply.
  • Minimum of 1 year of administrative experience; 2 years preferred.
  • Proficiency in Microsoft Office applications and remote meeting platforms.
  • Strong organizational and time-management skills with the ability to multitask effectively.
  • Excellent communication and interpersonal skills, ensuring professionalism in all interactions.
  • High level of integrity, reliability, and discretion in handling confidential information.
  • Comfortable working onsite and with potential hybrid arrangements in the future.
  • Ability to work independently, take initiative, and proactively solve problems.
  • Experience in taking board meeting minutes is a plus but not required.
