Job Description

Overview

  • Provide executive-level administrative support to senior leaders within the product development team.
  • Coordinate complex schedules, meetings, and travel arrangements with precision and efficiency.
  • Act as a strategic gatekeeper to optimize priorities and enhance operational workflow.
  • Collaborate across teams to ensure seamless execution of events and initiatives.
  • Manage client-facing communications, ensuring professionalism and brand alignment.
  • Support logistical planning for conferences, meetings, and events.
  • Utilize G-suite tools to streamline administrative tasks and enhance productivity.
  • Adapt to dynamic priorities and maintain discretion in handling sensitive information.

Key Responsibilities & Duties

  • Manage multiple executives' calendars, scheduling meetings and optimizing time allocation.
  • Coordinate logistics for conferences, events, and client meetings, including travel arrangements.
  • Draft and refine external communications to uphold organizational standards.
  • Handle expense reporting, vendor management, and administrative processes.
  • Collaborate with cross-functional teams to support strategic initiatives and events.
  • Anticipate needs and proactively address gaps to ensure operational efficiency.
  • Maintain discretion and professionalism in all interactions and communications.
  • Support high-volume scheduling and travel coordination for senior leaders.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • Minimum 3 years of administrative experience; 5 years preferred.
  • Proficiency in G-suite tools and productivity software such as Slack and Coupa.
  • Experience coordinating travel, scheduling, and event logistics.
  • Strong written and verbal communication skills with attention to detail.
  • Ability to thrive in fast-paced, confidential environments with high emotional intelligence.
  • Experience with sales tools like Salesforce or HubSpot is advantageous.
  • Proven ability to manage client-facing logistics and high-end event coordination.
