Overview

- Engage in clerical duties including mail handling, inventory management, and filing systems maintenance.
- Prepare monthly service summaries, statistical reports, and confidential documentation.
- Coordinate client transportation to social programs and events as needed.
- Adhere to mandatory training requirements including IT security, compliance, and regulatory standards.
- Provide excellent customer service and maintain professional communication with clients and staff.
- Utilize problem-solving skills to manage multiple tasks effectively and exercise sound judgment.
Key Responsibilities & Duties
- Answer and screen telephone calls, providing information and routing to appropriate staff.
- Handle incoming and outgoing mail, ensuring proper delivery and routing.
- Maintain inventory and order office supplies, coordinating with Facilities Management.
- Assist in preparing monthly service summaries and statistical reports.
- Greet visitors, ascertain their needs, and direct them to appropriate staff members.
- Support data entry in electronic client record-keeping systems.
- Prepare confidential reports, correspondence, and other materials for department directors.
- Coordinate client transportation to social programs and events.
- Adhere to organizational policies regarding absenteeism and appearance.
Job Requirements
- Associate’s degree or two years of college or technical school required.
- Two years of administrative assistant experience or equivalent combination of education and experience.
- Fluency in Russian and English is mandatory.
- Proficiency in Microsoft Word, Excel, and PowerPoint is essential.
- Strong problem-solving abilities and sound judgment while multitasking.
- Excellent verbal and written communication skills.
- Experience working with seniors is preferred.
- Commitment to completing mandatory annual training requirements.
