Overview

  • Coordinate caregiver schedules to ensure seamless service delivery and optimal client coverage in a dynamic healthcare environment.
  • Manage on-call responsibilities, addressing emergencies and scheduling adjustments promptly and effectively.
  • Maintain accurate records of client and caregiver information using advanced scheduling systems and tools.
  • Support quality improvement by matching caregivers to clients based on individual needs and preferences.
  • Perform general office duties, including reception coverage and document management, ensuring smooth operations.
  • Facilitate introductions between caregivers and clients to ensure smooth transitions and satisfaction.
  • Participate in onboarding and orientation processes for new hires, fostering a supportive work environment.
  • Monitor service delivery to maintain high standards of quality and client satisfaction.
  • Stay updated with scheduling software and technology to enhance operational efficiency and effectiveness.

Key Responsibilities & Duties

  • Schedule client appointments and caregiver visits based on service plans and availability.
  • Maintain staffing levels to ensure adequate coverage for all clients, addressing gaps proactively.
  • Create and release weekly schedules for caregivers, ensuring accuracy and consistency.
  • Document schedule updates and changes, communicating promptly with clients and caregivers.
  • Address client and caregiver concerns, escalating issues as necessary for resolution.
  • Perform administrative tasks such as data entry and telephone services to support operations.
  • Provide caregivers with updated care plans and instructions for quality service delivery.
  • Assist with new hire orientations and onboarding processes, ensuring smooth integration.
  • Ensure compliance with HIPAA regulations and company policies to uphold standards.

Job Requirements

  • High School Diploma or GED required; additional relevant training or experience preferred.
  • Minimum of 1 year of scheduling experience, preferably in a home care or healthcare setting.
  • Proficiency in scheduling software and ability to adapt to new systems effectively.
  • Strong knowledge of Microsoft Office Suite or Google Suite applications for operational tasks.
  • Effective communication skills for client and caregiver interactions, ensuring clarity and professionalism.
  • Ability to evaluate situations and make decisions using critical thinking and problem-solving skills.
  • Experience with basic medical terminology in scheduling processes is advantageous.
  • Willingness to work on-site and handle remote on-call responsibilities as needed.
