Overview

  • Provide high-level administrative support in a fast-paced professional environment, ensuring seamless operations and effective coordination.
  • Manage complex calendars, schedule meetings, and resolve conflicts with precision and efficiency.
  • Coordinate domestic and international travel arrangements, including transportation and accommodations.
  • Process expense reports accurately using advanced software tools like Concur.
  • Build and maintain strong relationships with internal teams, external partners, and vendors.
  • Handle sensitive information with discretion, ensuring confidentiality and professionalism.
  • Contribute to special projects and ad hoc tasks, showcasing adaptability and initiative.
  • Utilize advanced proficiency in Microsoft Office Suite to enhance operational efficiency.

Key Responsibilities & Duties

  • Provide administrative support to executives, ensuring smooth daily operations and effective task management.
  • Coordinate schedules, arrange meetings, and proactively manage calendar conflicts.
  • Organize travel plans, including flights, accommodations, and itineraries for executives.
  • Prepare and process expense reports with accuracy and compliance.
  • Foster positive relationships with stakeholders, ensuring effective communication and collaboration.
  • Ensure workspace planning and reception coverage during team member absences.
  • Maintain confidentiality and professionalism when handling sensitive information.
  • Support special projects and contribute to organizational initiatives as needed.

Job Requirements

  • Bachelor’s degree preferred, ideally in a related field such as business or administration.
  • Minimum of 5 years of administrative experience in corporate or professional settings.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Experience with expense management systems like Concur is highly desirable.
  • Strong organizational, time-management, and problem-solving skills.
  • Excellent written and verbal communication abilities.
  • Ability to adapt to changing priorities and work under tight deadlines.
