Job Description

Overview

  • Provide comprehensive administrative support to executive leadership, ensuring seamless operations and effective communication across the organization.
  • Manage executive schedules, coordinate meetings, and oversee travel arrangements to optimize productivity and time management.
  • Act as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Prepare detailed reports, presentations, and correspondence to support strategic decision-making processes.
  • Handle administrative tasks such as document management, expense tracking, and compliance monitoring.
  • Contribute to the planning and execution of corporate events, initiatives, and special projects.
  • Support a hybrid work environment, ensuring smooth collaboration across in-office and remote teams.

Key Responsibilities & Duties

  • Manage executive calendars, scheduling appointments, resolving conflicts, and ensuring efficient time utilization.
  • Coordinate complex travel arrangements, including flights, accommodations, and transportation logistics.
  • Draft, proofread, and edit professional correspondence, reports, and presentations for executive review.
  • Organize and facilitate meetings, preparing agendas, recording minutes, and ensuring follow-up actions.
  • Serve as the primary contact for internal and external communications, ensuring clarity and professionalism.
  • Assist in the planning and execution of company events, team-building activities, and strategic initiatives.
  • Monitor and manage expense reports, ensuring compliance with organizational policies and accuracy.

Job Requirements

  • Bachelor of Arts (BA) degree or equivalent educational background is required.
  • Minimum of 3 years of experience as an executive assistant; 5 years preferred.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Exceptional organizational skills with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills, with attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Experience supporting executives in a hybrid work environment is advantageous.
