Overview
- The Billing Coordinator ensures accurate preparation, review, and submission of invoices, including electronic billings, maintaining billing files and arrangements.
- Collaborate with Billing Partners to administer unbilled inventory and ensure timely billing submissions.
- Handle complex billing scenarios, including discounts, split-party billing, and electronic submissions.
- Research and resolve billing inquiries, maintaining effective communication with attorneys, secretaries, and clients.
- Assist with special projects and provide backup support to team members as needed.
- Ensure compliance with firm policies and guidelines regarding billing processes.
- Maintain accuracy and organization in billing documentation and records.
- Adapt to various work situations and deadlines to achieve desired results.
Key Responsibilities & Duties
- Compile and process attorney bills monthly, ensuring timely and accurate submissions.
- Review and edit pre-bills as requested by attorneys and secretaries.
- Monitor aged unbilled inventory and apply retainer/on-account funds per instructions.
- Handle write-offs and complex billing scenarios, including discounts and split-party billing.
- Submit invoices electronically, resolving issues promptly.
- Verify accuracy of supporting documentation for billing processes.
- Respond to billing inquiries and correct inaccuracies efficiently.
- Assist with special projects and provide backup support to team members.
- Maintain effective communication regarding billing matters with stakeholders.
Job Requirements
- Bachelor’s degree in accounting, finance, or related field preferred; Associate of Science required.
- Minimum of 5 years of billing experience in a law firm environment.
- Proficiency in legal billing software, such as 3E billing system or eHUB.
- Strong skills in Microsoft Excel, Word, and Smartsheet.
- Excellent analytical, problem-solving, and organizational abilities.
- Effective verbal and written communication skills.
- Ability to prioritize and manage multiple tasks while meeting deadlines.
- Flexibility to adapt to various work situations and willingness to work additional hours.
