Job Description

Overview

  • The Billing Coordinator ensures accurate preparation, review, and submission of invoices, including electronic billings, maintaining billing files and arrangements.
  • Collaborate with Billing Partners to administer unbilled inventory and ensure timely billing submissions.
  • Handle complex billing scenarios, including discounts, split-party billing, and electronic submissions.
  • Research and resolve billing inquiries, maintaining effective communication with attorneys, secretaries, and clients.
  • Assist with special projects and provide backup support to team members as needed.
  • Ensure compliance with firm policies and guidelines regarding billing processes.
  • Maintain accuracy and organization in billing documentation and records.
  • Adapt to various work situations and deadlines to achieve desired results.

Key Responsibilities & Duties

  • Compile and process attorney bills monthly, ensuring timely and accurate submissions.
  • Review and edit pre-bills as requested by attorneys and secretaries.
  • Monitor aged unbilled inventory and apply retainer/on-account funds per instructions.
  • Handle write-offs and complex billing scenarios, including discounts and split-party billing.
  • Submit invoices electronically, resolving issues promptly.
  • Verify accuracy of supporting documentation for billing processes.
  • Respond to billing inquiries and correct inaccuracies efficiently.
  • Assist with special projects and provide backup support to team members.
  • Maintain effective communication regarding billing matters with stakeholders.

Job Requirements

  • Bachelor’s degree in accounting, finance, or related field preferred; Associate of Science required.
  • Minimum of 5 years of billing experience in a law firm environment.
  • Proficiency in legal billing software, such as 3E billing system or eHUB.
  • Strong skills in Microsoft Excel, Word, and Smartsheet.
  • Excellent analytical, problem-solving, and organizational abilities.
  • Effective verbal and written communication skills.
  • Ability to prioritize and manage multiple tasks while meeting deadlines.
  • Flexibility to adapt to various work situations and willingness to work additional hours.
  • Detail-oriented with a commitment to maintaining accuracy in billing processes.
