Overview

  • Support a team of investment professionals in a dynamic, fast-paced environment, ensuring seamless operations and communication.
  • Coordinate schedules, meetings, and travel arrangements, demonstrating exceptional organizational and time management skills.
  • Collaborate with executives and administrative assistants to maintain efficient workflows and address logistical needs.
  • Prepare and manage expense reports and communications with professionalism and discretion.
  • Handle incoming calls, correspondence, and special projects with initiative and attention to detail.
  • Work in a hybrid setting, requiring in-office presence four days per week with flexible hours.

Key Responsibilities & Duties

  • Coordinate and schedule meetings, ensuring all logistical needs are addressed for seamless execution.
  • Manage complex calendars with sensitivity to time zones and scheduling nuances.
  • Organize domestic and international travel arrangements for executives.
  • Prepare and distribute communications, maintaining professionalism and timeliness.
  • Handle expense reports and personal business-related expenses discreetly and efficiently.
  • Screen and route incoming calls and messages, ensuring effective communication.
  • Execute special projects across functional areas, demonstrating flexibility and initiative.
  • Troubleshoot office equipment and software issues as needed.

Job Requirements

  • Bachelor's degree in liberal arts or related field required.
  • 3-6 years of experience as an Executive Assistant in investment management, consulting, or law firms.
  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Exceptional organizational, time management, and multitasking abilities.
  • Strong communication skills, both verbal and written, adaptable to various styles.
  • Resourceful problem-solving skills with the ability to anticipate obstacles.
  • Professional demeanor with discretion and confidentiality in handling sensitive information.
  • Experience in the investment management industry is a plus.
