Job Description

Overview

  • Provide comprehensive administrative support to attorneys in a dynamic legal environment.
  • Draft and proofread legal documents, correspondence, and memoranda.
  • Organize and manage legal files using document management systems.
  • Coordinate attorney calendars, appointments, and meetings efficiently.
  • Assist with client engagement processes, including conflict checks and matter openings.
  • Support attorneys in preparing proposals and qualifications requests.
  • Submit attorney billable time and expenses accurately and timely.
  • Collaborate with team members to ensure seamless workflow and task completion.
  • Handle additional administrative tasks as required to support the team.

Key Responsibilities & Duties

  • Draft and revise legal documents, correspondence, and memoranda for attorneys.
  • Manage and organize legal files using iManage and other systems.
  • Coordinate scheduling for depositions and court reporters.
  • Assist with client engagement, including preparing engagement letters and conflict checks.
  • Maintain attorney calendars, appointments, and meetings effectively.
  • Support proposal and qualification request processes.
  • Submit attorney billable time and expenses accurately.
  • Provide overflow assistance and handle additional tasks as needed.
  • Ensure adherence to legal procedures and court rules in all tasks.

Job Requirements

  • High School Diploma or GED required; additional certifications are a plus.
  • Minimum of 2 years of legal assistant experience in a law firm.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and Adobe.
  • Knowledge of iManage and Orion systems preferred.
  • Strong written and verbal communication skills essential.
  • Fundamental understanding of legal terminology, court rules, and procedures.
  • Ability to work independently and collaboratively within a team environment.
  • Organized, reliable, and detail-oriented with excellent multitasking abilities.
  • Immediate availability to start and contribute effectively.
