Job Description

Overview

  • Provide high-level executive support to senior executives in a dynamic, remote working environment.
  • Coordinate complex schedules, travel arrangements, and meetings across multiple time zones.
  • Ensure seamless communication and collaboration with internal teams and external stakeholders.
  • Maintain confidentiality and professionalism while managing sensitive information.
  • Support corporate events, leadership meetings, and high-priority sessions.
  • Adapt working hours to accommodate global time zones and business needs.
  • Collaborate with the EA team to ensure consistent support across departments.
  • Contribute to the success of a leading organization in the biopharmaceutical industry.

Key Responsibilities & Duties

  • Provide executive assistance to VP, SVP, and C-suite executives.
  • Manage complex diaries, travel logistics, and conference arrangements.
  • Schedule and organize meetings using various virtual platforms.
  • Liaise with VIPs, government bodies, and external collaborators.
  • Process invoices, reconcile expenses, and maintain accurate records.
  • Coordinate corporate events and leadership meetings.
  • Provide coverage for other executive assistants as needed.
  • Ensure adherence to health and safety guidelines.
  • Handle additional duties as assigned by management.

Job Requirements

  • Minimum of 7 years of experience providing executive support to senior executives.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and time management skills with attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Experience in biotech or pharmaceutical industry preferred.
  • Degree in science, healthcare, or related fields preferred.
  • Excellent communication skills, both written and verbal.
  • Ability to work under pressure and adapt to changing priorities.
