Job Description

Overview

  • Provide executive-level support to the CEO, ensuring efficient operations and organized workflows.
  • Manage complex scheduling, including calendar management and coordination of meetings and events.
  • Support Board-related activities, including preparing materials and managing logistics.
  • Coordinate domestic and international travel arrangements, ensuring seamless itineraries.
  • Draft and edit correspondence, presentations, and other professional documents.
  • Utilize AI tools for meeting support, including transcription and note-taking.
  • Assist with event planning and execution, ensuring smooth operations and logistics.
  • Contribute to office management, maintaining daily operations and coordination.

Key Responsibilities & Duties

  • Manage the CEO's calendar, scheduling appointments, meetings, and conference calls.
  • Prepare pre-read materials and ensure all necessary information is available for meetings.
  • Coordinate logistics for Board of Directors meetings, including materials and venue arrangements.
  • Support senior management with various projects and administrative tasks.
  • Handle expense reconciliation for corporate credit cards and out-of-pocket expenses.
  • Assist in planning and executing events, conferences, and international missions.
  • Negotiate contracts with vendors and manage event-related logistics.
  • Ensure confidentiality and discretion in handling sensitive information.

Job Requirements

  • Minimum 5 years of experience in executive or administrative support roles.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Strong organizational skills and meticulous attention to detail.
  • Experience in event planning and coordination.
  • Ability to manage complex schedules and anticipate executive needs.
  • Excellent communication and interpersonal skills.
  • Knowledge of administrative procedures and project management.
  • Valid U.S. driver’s license and reliable transportation.
