Overview

  • Provide strategic administrative support to executive leadership, ensuring seamless operations and effective communication across the organization.
  • Coordinate executive schedules, prioritize tasks, and manage sensitive information with discretion and professionalism.
  • Enhance organizational efficiency by implementing systems and workflows that streamline operations and improve productivity.
  • Collaborate with cross-functional teams to support strategic initiatives and ensure project success.
  • Prepare and edit high-level documents, proposals, and presentations to support executive decision-making.

Key Responsibilities & Duties

  • Manage executive calendars, inboxes, and communication channels to ensure efficiency and focus.
  • Coordinate and oversee the preparation of executive-level documents, proposals, and presentations.
  • Develop and maintain systems for tracking workflows, deadlines, and priorities.
  • Identify operational gaps and recommend improvements to enhance organizational efficiency.
  • Support executive travel planning, logistics, and coordination to optimize schedules.
  • Handle confidential matters with discretion, ensuring sensitive information is managed appropriately.
  • Collaborate with junior staff to ensure alignment and professional representation of leadership.

Job Requirements

  • Bachelor of Arts (BA) degree required, with a strong academic background.
  • Minimum of 4 years of experience supporting executive-level leadership, with 5 years preferred.
  • Proficiency in Microsoft 365 and other digital workflow tools.
  • Exceptional organizational and project management skills to handle dynamic environments.
  • Strong written and verbal communication abilities with a focus on professionalism.
  • Ability to manage competing priorities and adapt to fast-changing workflows effectively.
  • Experience in sales-driven or operations-heavy environments is highly valued.
