Overview

  • Provide comprehensive administrative support to lawyers and practice groups within a leading law firm.
  • Assist with document preparation, scheduling, and client communications to ensure efficient operations.
  • Contribute to the firm's client service goals by maintaining professionalism and confidentiality.
  • Collaborate with internal departments to streamline processes and enhance productivity.
  • Support visiting lawyers and clients, ensuring seamless integration into firm operations.
  • Utilize advanced Microsoft Office Suite skills to manage documentation and correspondence.
  • Maintain organized records and files in compliance with firm policies.
  • Contribute to a collaborative team environment, fostering mutual respect and cooperation.

Key Responsibilities & Duties

  • Prepare, proofread, and format legal documents and correspondence with attention to detail.
  • Manage calendars, schedule meetings, and coordinate travel arrangements for assigned lawyers.
  • Assist in billing processes, including time entry and expense report management.
  • Conduct research and route correspondence to support legal operations.
  • Collaborate with internal departments to ensure smooth workflow and communication.
  • Maintain and update client and matter lists, ensuring accurate records.
  • Provide support during client meetings, conferences, and video calls.
  • Ensure compliance with firm policies and procedures in all tasks.
  • Take initiative to assist colleagues and seek additional responsibilities during slower periods.

Job Requirements

  • High School Diploma or GED required; additional certifications preferred.
  • Minimum of 3 years of experience in a legal secretary or similar role.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong organizational skills and ability to manage multiple priorities effectively.
  • Excellent interpersonal and communication skills for client and team interactions.
  • Knowledge of document management systems such as DeskSite is advantageous.
  • Ability to maintain confidentiality and exercise discretion in all tasks.
  • Experience supporting corporate lawyers preferred; litigation experience is a plus.
