Overview

  • Provide high-level administrative support to Investor Relations and Finance teams, ensuring seamless operations in a dynamic, professional environment.
  • Manage complex schedules, coordinate meetings, and facilitate effective communication across global time zones.
  • Handle sensitive and confidential information with utmost discretion and professionalism.
  • Prepare and review investor-facing materials, presentations, and documentation with precision and attention to detail.
  • Maintain and organize contact lists, distribution groups, and data rooms to ensure accuracy and accessibility.
  • Collaborate with cross-functional teams to support operational and project-based activities effectively.
  • Enhance efficiency by supporting multiple senior leaders simultaneously and adapting to dynamic priorities.
  • Contribute to the success of investor relations initiatives through proactive and strategic administrative support.

Key Responsibilities & Duties

  • Manage and optimize complex calendars and schedules for senior leaders, ensuring seamless coordination.
  • Coordinate meetings, including logistics such as room bookings, catering, and technology setup.
  • Arrange detailed travel plans and process expense reports in alignment with company policies.
  • Support operational due diligence tracking and maintain comprehensive documentation.
  • Organize and manage fund-focused data rooms, ensuring data accuracy and accessibility.
  • Distribute investor communications and capital call reminders promptly and accurately.
  • Provide backup support for other Executive Assistants during absences or high-demand periods.
  • Collaborate with internal teams to ensure timely delivery of critical information and materials.

Job Requirements

  • Bachelor’s degree required, preferably in Business Administration or a related field.
  • Minimum of 5 years of experience in executive or administrative support roles.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel.
  • Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, demonstrating professionalism and clarity.
  • Proactive mindset with sound judgment and discretion in handling sensitive information.
  • Comfortable working across multiple offices and time zones in a fast-paced environment.
  • Experience supporting multiple senior leaders simultaneously is highly preferred.
