Job Description

Overview

  • Provide advanced administrative support for international programs, ensuring smooth operations and effective communication across departments.
  • Coordinate international travel logistics, including flights, accommodations, and visas, adhering to organizational guidelines.
  • Assist in the planning and execution of educational exchange and resident scholar programs.
  • Develop promotional materials and maintain program information on the organization's website.
  • Facilitate communication with international societies, participants, and training centers to ensure program success.
  • Support financial activities, including processing reimbursements and tracking expenses for international programs.
  • Collaborate with various departments to coordinate logistics for annual meetings and international educational activities.
  • Maintain detailed records and files for international programs and activities.
  • Contribute to special projects and routine department tasks as needed.

Key Responsibilities & Duties

  • Respond to inquiries and manage communication channels for international programs.
  • Coordinate travel arrangements and logistics for international delegations and scholars.
  • Assist in the selection and onboarding of participants for exchange programs.
  • Develop and distribute itineraries and schedules for program participants.
  • Draft correspondence, reports, and promotional materials for international activities.
  • Collaborate with departments to ensure successful execution of international educational programs.
  • Maintain program documentation and ensure compliance with organizational guidelines.
  • Support logistics for annual meetings and other international events.
  • Administer surveys and assessments to measure program outcomes and effectiveness.

Job Requirements

  • Bachelor’s degree required, preferably in a related field.
  • Minimum of 3 years of administrative experience; 5 years preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple tasks and meet deadlines effectively.
  • Experience with international travel logistics and cultural sensitivity.
