Overview

  • Provide high-level administrative support to attorneys, ensuring seamless operations and efficient project execution in a dynamic legal environment.
  • Coordinate schedules, travel arrangements, and meeting logistics, resolving conflicts and ensuring timely communication.
  • Prepare, proofread, and finalize legal documents and correspondence, maintaining accuracy and professionalism.
  • Collaborate with internal teams to streamline processes and enhance project outcomes.
  • Support billing processes, ensuring accuracy and timely delivery of invoices to clients.
  • Maintain organized electronic and physical filing systems for easy access to legal documents.
  • Conduct research to support case preparation and executive briefings, compiling relevant data effectively.
  • Utilize legal software and tools to manage documents, cases, and virtual collaborations efficiently.

Key Responsibilities & Duties

  • Act as a liaison between attorneys, clients, and internal departments, ensuring clear communication and timely follow-ups.
  • Draft and edit legal documents, correspondence, and presentations with a focus on detail and accuracy.
  • Manage attorney calendars, coordinating meetings, deadlines, and travel arrangements effectively.
  • Oversee billing processes, addressing inquiries and ensuring compliance with firm policies.
  • Support onboarding processes for new attorneys, ensuring a smooth transition into the team.
  • Organize and maintain comprehensive filing systems, ensuring accessibility and compliance with legal standards.
  • Prepare agendas and materials for meetings, ensuring all participants are well-informed and prepared.

Job Requirements

  • High School Diploma or GED required; Bachelor’s degree in legal studies or related field preferred.
  • Minimum of 4 years of experience in an administrative role within legal or corporate settings.
  • Proficiency in legal software, document management tools, and virtual collaboration platforms.
  • Strong organizational skills with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills, with a keen attention to detail.
  • Experience in billing processes and client communication within a legal environment.
