Job Description

Overview

  • Provide comprehensive administrative and legal support to attorneys in a fast-paced, hybrid work environment.
  • Manage schedules, coordinate meetings, and arrange travel to ensure seamless operations.
  • Draft, proofread, and finalize legal documents and correspondence with precision and confidentiality.
  • Serve as a key liaison between attorneys, clients, and internal teams for effective communication.
  • Maintain and organize electronic and physical filing systems for easy document accessibility.
  • Conduct research and compile case-related information to support legal proceedings.
  • Utilize advanced tools and software for document management and case tracking.
  • Collaborate with support teams to ensure timely and accurate project completion.

Key Responsibilities & Duties

  • Oversee attorney projects, ensuring deadlines are met and deliverables are accurate.
  • Coordinate billing processes, including approvals and correspondence, to ensure timely invoicing.
  • Delegate tasks to support staff, monitor progress, and provide constructive feedback.
  • Prepare detailed meeting agendas and ensure all materials are ready for discussions.
  • Mentor junior staff, fostering professional growth and skill development.
  • Leverage AI tools for efficient document production, review, and legal research.
  • Resolve scheduling conflicts and prioritize tasks to maintain workflow efficiency.

Job Requirements

  • Minimum of 4 years of experience as a legal executive assistant or in a similar role.
  • Preferred 5 years of experience in a law firm setting, particularly in litigation.
  • High School Diploma or GED required; Bachelor’s degree in legal studies or business preferred.
  • Proficiency in legal research tools, case management software, and office applications.
  • Exceptional organizational skills with the ability to manage multiple priorities effectively.
  • Strong written and verbal communication skills with a professional demeanor.
  • Experience with virtual collaboration tools such as Zoom and Microsoft Teams.
