Overview

  • Oversee and enhance office operations, ensuring efficiency and alignment with organizational goals in a dynamic, hybrid work environment.
  • Collaborate with leadership on strategic initiatives, including office renovations, space planning, and operational improvements.
  • Manage onboarding processes, performance evaluations, and recruitment coordination to support a thriving workplace culture.
  • Ensure budget adherence, vendor management, and financial reporting to maintain operational excellence.
  • Coordinate and execute local events, meetings, and administrative updates to foster team engagement.
  • Provide onsite support for IT, HR, and other departments, ensuring seamless operations and issue resolution.
  • Identify and implement process improvements to enhance office efficiency and effectiveness.
  • Maintain confidentiality and professionalism while managing sensitive information and organizational priorities.

Key Responsibilities & Duties

  • Lead office projects, ensuring timely completion and alignment with organizational objectives.
  • Collaborate with leadership on financial management, including billing, collections, and reporting.
  • Oversee administrative functions to ensure seamless daily operations and compliance with policies.
  • Coordinate with regional management on hospitality, reception, and other service areas.
  • Manage office budgets, vendor relationships, and payment processes to ensure fiscal responsibility.
  • Support space planning, refurbishment projects, and construction management to optimize office functionality.
  • Act as a liaison with landlords and building management to address office needs and maintenance.
  • Drive organizational initiatives and contribute to a positive, collaborative office culture.

Job Requirements

  • High School Diploma or GED required; Bachelor’s Degree preferred for advanced expertise.
  • Minimum of 4 years of management experience in professional services or similar environments.
  • Proven leadership, organizational, and problem-solving skills to drive operational success.
  • Familiarity with accounting principles and budget management is advantageous.
  • Ability to multitask and excel in fast-paced, dynamic work settings.
  • Exceptional interpersonal skills for effective communication with diverse stakeholders.
  • Technical proficiency and analytical skills to support operational decision-making.
  • Experience in office administration, event coordination, and space planning is highly valued.
