Shareholder Services Specialist Overview

  • The Shareholder Services Specialist will play a pivotal role in ensuring seamless operations and compliance for investment fund services.
  • Collaborate with internal teams and external stakeholders to manage fund distributions and operational updates effectively.
  • Contribute to process optimization by implementing innovative solutions and enhancing existing workflows.
  • Ensure accurate and timely delivery of shareholder communications, including prospectuses and reports.
  • Utilize project management tools to track progress and meet critical deadlines consistently.
  • Support compliance efforts by managing regulatory filings and maintaining operational efficiency.
  • Analyze trade notifications and tax reports to provide valuable insights for decision-making.
  • Engage with distribution partners to coordinate operational changes and corporate actions seamlessly.

Shareholder Services Specialist Key Responsibilities & Duties

  • Oversee transfer agent policies, call center operations, and compliance testing to ensure service excellence.
  • Coordinate fund distributions, including capital gains and dividends, in collaboration with fund administration teams.
  • Manage regulatory filings, print vendor relationships, and website updates for shareholder communications.
  • Support sales teams by addressing onboarding, prospectus eligibility, and platform distribution inquiries.
  • Prepare trade notifications, tax reports, and board meeting materials for internal and external stakeholders.
  • Assist with audit requests, invoice processing, and recurring reporting tasks to maintain compliance.
  • Maintain and update internal workflows, procedure manuals, and investor materials for operational efficiency.
  • Collaborate with distribution partners to meet deadlines for operational changes and corporate actions.

Shareholder Services Specialist Job Requirements

  • Bachelor’s degree in Finance, Business, or a related field is required.
  • Minimum of 3 years of relevant experience; 7 years preferred for advanced roles.
  • Experience with mutual funds, interval funds, BDCs, ETFs, and Irish investment funds is advantageous.
  • Knowledge of transfer agency applications, particularly SS&C, is preferred.
  • Familiarity with wirehouses, RIAs, and platforms like iCapital and CAIS is beneficial.
  • Preferred certifications include Series 6 and 63 for enhanced qualifications.
  • Strong analytical skills for organizing and interpreting complex data sets effectively.
  • Proven ability to lead process improvements and optimize workflows for operational success.
