Receptionist Overview

  • As a Receptionist, you will be the welcoming face of the organization, ensuring a professional and friendly first impression for all visitors and clients.
  • Coordinate conference room bookings and visitor arrangements, maintaining efficiency and adherence to company protocols.
  • Provide vital administrative support to attorneys, management, and other departments, contributing to the smooth operation of the office.
  • Maintain confidentiality and professionalism in all interactions, safeguarding sensitive information.
  • Assist with scheduling, correspondence, and document preparation using advanced Microsoft Office Suite skills.
  • Ensure the reception area is organized, presentable, and reflective of the firm’s professional image.
  • Support the Facilities & Operations department with daily tasks and special projects as needed.
  • Handle incoming calls with professionalism, directing them to the appropriate individuals efficiently.

Receptionist Key Responsibilities & Duties

  • Welcome and assist visitors, clients, and vendors, ensuring a positive and professional experience.
  • Manage conference room scheduling and visitor requests, maintaining seamless coordination.
  • Provide comprehensive administrative support, including document preparation, correspondence, and meeting coordination.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.

Receptionist Job Requirements

  • High school diploma or GED equivalent required; additional education is advantageous.
  • Minimum of 3 years of experience as a receptionist or in an administrative role within a professional setting.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Strong organizational and multitasking abilities with keen attention to detail.
  • Professional demeanor and excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Experience managing visitor and conference room requests effectively.
