Executive Assistant Key Responsibilities & Duties

  • Manage and prioritize a high-volume executive calendar, accommodating last-minute changes and competing priorities.
  • Coordinate comprehensive travel arrangements, including flights, accommodations, and detailed itineraries for domestic and international trips.
  • Prepare briefing materials, track follow-through, and ensure readiness for internal and external meetings.
  • Handle executive communications, triaging inboxes, drafting responses, and surfacing critical issues.
  • Collaborate with internal teams and external partners to drive follow-through on executive priorities.
  • Manage gifting, outreach, and relationship logistics for VIPs and high-profile stakeholders.
  • Liaise with family and household staff on occasional personal requests and special projects.
  • Support executive needs during travel and at key company events, ensuring seamless logistics.
  • Maintain confidentiality and professionalism in handling sensitive information and situations.

Executive Assistant Job Requirements

  • Bachelor of Arts (BA) degree with 6+ years of experience supporting C-level executives in fast-paced environments.
  • Preferred experience in sports, media, entertainment, or similar high-velocity industries.
  • Proficiency in Google Workspace, Microsoft Office, Slack, and other productivity tools.
  • Strong organizational skills and ability to manage complexity without missing details.
  • High responsiveness and flexibility, including availability outside traditional business hours.
  • Exceptional judgment, discretion, and professionalism in handling confidential information.
  • Ability to leverage AI tools to enhance operational efficiency and productivity.
