Job Description

Responsibilities:

  • Manage complex, senior-level internal and external meetings and conference calls, ensuring efficiency and professionalism.
  • Handle a substantial volume of phone calls, responding promptly and professionally to client inquiries and requests.
  • Maintain intricate and detailed calendars, prioritizing meeting requests and managing related logistics effectively.
  • Arrange domestic and international travel itineraries, process business requests, and ensure seamless travel experiences for attorneys.
  • Proofread, revise, and format legal documents, spreadsheets, and presentations to the highest standard.
  • Accurately record attorneys' time entries
  • Conduct internet research as directed by attorneys, contributing valuable insights to legal proceedings.
  • Establish and maintain both paper and electronic filing systems, ensuring accessibility and organization.
  • Interface with clients, building and nurturing positive business relationships that reflect our commitment to excellence.
  • Fulfill any additional duties as required by management to support the firm's objectives.

Qualifications:

  • 5+ years of experience in a support capacity within a law firm, legal, or similar environment, demonstrating a deep understanding of legal procedures and practices.
  • Ability to handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Strong initiative and ability to exercise sound judgment, working autonomously and making decisions on behalf of attorneys when necessary.
  • Excellent interpersonal skills, adept at navigating diverse personalities and high-pressure situations with professionalism and tact.
  • Exceptional administrative and organizational skills, with the ability to prioritize tasks and manage multiple priorities effectively.
  • Outstanding written and oral communication skills, with meticulous attention to detail and accuracy.
  • Collaborative mindset, capable of thriving in a fast-paced environment and contributing positively to team dynamics.
  • Knowledge of Big Law or legal environment highly preferred, with proficiency in basic, advanced, and legal-specific applications.
  • Demonstrated proficiency in utilizing technology, with a willingness and aptitude to learn new tools and share knowledge to support colleagues.
  • Self-starter with the ability to manage competing priorities, adapt to evolving challenges, and drive continuous improvement.
