Responsibilities:
- Manage complex, senior-level internal and external meetings and conference calls, ensuring efficiency and professionalism.
- Handle a substantial volume of phone calls, responding promptly and professionally to client inquiries and requests.
- Maintain intricate and detailed calendars, prioritizing meeting requests and managing related logistics effectively.
- Arrange domestic and international travel itineraries, process business requests, and ensure seamless travel experiences for attorneys.
- Proofread, revise, and format legal documents, spreadsheets, and presentations to the highest standard.
- Accurately record attorneys' time entries
- Conduct internet research as directed by attorneys, contributing valuable insights to legal proceedings.
- Establish and maintain both paper and electronic filing systems, ensuring accessibility and organization.
- Interface with clients, building and nurturing positive business relationships that reflect our commitment to excellence.
- Fulfill any additional duties as required by management to support the firm's objectives.
Qualifications:
- 5+ years of experience in a support capacity within a law firm, legal, or similar environment, demonstrating a deep understanding of legal procedures and practices.
- Ability to handle sensitive information with the utmost discretion and maintain confidentiality at all times.
- Strong initiative and ability to exercise sound judgment, working autonomously and making decisions on behalf of attorneys when necessary.
- Excellent interpersonal skills, adept at navigating diverse personalities and high-pressure situations with professionalism and tact.
- Exceptional administrative and organizational skills, with the ability to prioritize tasks and manage multiple priorities effectively.
- Outstanding written and oral communication skills, with meticulous attention to detail and accuracy.
- Collaborative mindset, capable of thriving in a fast-paced environment and contributing positively to team dynamics.
- Knowledge of Big Law or legal environment highly preferred, with proficiency in basic, advanced, and legal-specific applications.
- Demonstrated proficiency in utilizing technology, with a willingness and aptitude to learn new tools and share knowledge to support colleagues.
