Job Description

Summary:

As a Temp-Administrative Coordinator, you will provide support and coordination of activities for leaders with Medical Affairs. General responsibilities include calendar management, managing events and logistics, travel and expense reconciliation, technical support and facilitation.

Duties:

  • Outlook calendar maintenance and logistical support for meetings, including room reservations, agenda preparation and meeting materials, catering and technical equipment.
  • Serve as a business point of contact to prioritize and multitask, maintaining a high level of confidentiality, accuracy and attention to detail.
  • Ongoing organization of logistics of executive leadership such as workshops, travel arrangements and expenses, department communications, employee onboarding, welcoming external guests, and event planning
  • Data management and entry of Purchase Order requisitions, contracts for consultant services and suppliers for office equipment and services, managing new and existing requests
  • Tracking of administrative policies, procedures and guidelines; departmental records as appropriate; such as org charts, rosters, space planning material
  • Liaise with internal business partners interdepartmental partnerships with other support coordinators.
  • Coordinates multiple administrative workflows within the department to creating efficiencies with increasingly complex processes.

Qualifications:

  • Can demonstrate executive administrative decision-making skills while managing different support styles.
  • Are highly collaborative with the ability to interact across all levels of employees and management while maintaining confidentiality.
  • Have the sense to anticipate the needs of leaders and teams in order to present solutions.
  • To be considered you are to have >5 years administrative experience with Pharmaceuticals, Medical Affairs and/or Clinical Development/Operations proven experience desirable.
  • Administrative support experience should include: calendar management, expense reporting.
  • Associates or Bachelor’s degree is helpful.
  • Experience with knowledge of Word, Concur, Adobe, Excel, PowerPoint.
