Job Description
Overview
- Serve as the Executive Assistant to the President & CEO, providing high-level administrative support.
- Manage communications, including emails, memos, presentations, and other correspondence.
- Assist in generating, editing, and tracking contract agreements, claims, and legal items.
- Coordinate building maintenance and tenant issues in collaboration with the CEO.
- Maintain the CEO’s calendar, contacts, and travel arrangements efficiently.
- Interface with senior leadership and operational levels across the organization.
- Handle catering requests company-wide and travel arrangements for senior leadership.
- Contribute to the preparation of proposals and brochures for Business Development and Marketing.
Key Responsibilities & Duties
- Manage communications for the President & CEO, ensuring clarity and professionalism.
- Assist in legal documentation tasks such as scanning, typing, editing, and filing.
- Coordinate building maintenance and address tenant-related concerns effectively.
- Prepare proposals and marketing materials in collaboration with relevant departments.
- Maintain and organize the CEO’s calendar, ensuring seamless scheduling and efficiency.
- Oversee travel arrangements for the CEO and senior leadership team.
- Facilitate catering requests and ensure smooth execution of company-wide events.
- Collaborate with senior leadership to support organizational goals and initiatives.
Job Requirements
- Bachelor’s Degree preferred or equivalent combination of education and experience.
- Minimum of five years of experience in executive staff support roles.
- Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint; experience with Procore a plus.
- Strong organizational and communication skills, both written and oral.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Capability to multitask and adapt to changing priorities effectively.
- Experience interfacing with senior leadership and operational teams.
- Strong interpersonal skills to foster collaboration and teamwork.
