Job Description

Overview

  • Serve as the Executive Assistant to the President & CEO, providing high-level administrative support.
  • Manage communications, including emails, memos, presentations, and other correspondence.
  • Assist in generating, editing, and tracking contract agreements, claims, and legal items.
  • Coordinate building maintenance and tenant issues in collaboration with the CEO.
  • Maintain the CEO’s calendar, contacts, and travel arrangements efficiently.
  • Interface with senior leadership and operational levels across the organization.
  • Handle catering requests company-wide and travel arrangements for senior leadership.
  • Contribute to the preparation of proposals and brochures for Business Development and Marketing.

Key Responsibilities & Duties

  • Manage communications for the President & CEO, ensuring clarity and professionalism.
  • Assist in legal documentation tasks such as scanning, typing, editing, and filing.
  • Coordinate building maintenance and address tenant-related concerns effectively.
  • Prepare proposals and marketing materials in collaboration with relevant departments.
  • Maintain and organize the CEO’s calendar, ensuring seamless scheduling and efficiency.
  • Oversee travel arrangements for the CEO and senior leadership team.
  • Facilitate catering requests and ensure smooth execution of company-wide events.
  • Collaborate with senior leadership to support organizational goals and initiatives.

Job Requirements

  • Bachelor’s Degree preferred or equivalent combination of education and experience.
  • Minimum of five years of experience in executive staff support roles.
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint; experience with Procore a plus.
  • Strong organizational and communication skills, both written and oral.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Capability to multitask and adapt to changing priorities effectively.
  • Experience interfacing with senior leadership and operational teams.
  • Strong interpersonal skills to foster collaboration and teamwork.
