Overview

  • Serve as an Executive Assistant supporting investment professionals in a dynamic financial services environment.
  • Coordinate schedules, meetings, and travel arrangements for seamless team operations.
  • Handle communications, correspondence, and expense reporting with professionalism and discretion.
  • Collaborate with internal and external stakeholders to ensure efficient workflow.
  • Contribute to special projects, demonstrating flexibility and initiative.
  • Work in a hybrid setting with a minimum of four days in-office weekly.

Key Responsibilities & Duties

  • Coordinate meetings, logistics, and presentation tools for effective team operations.
  • Manage complex calendars, ensuring optimal time management across time zones.
  • Organize domestic and international travel arrangements with attention to detail.
  • Prepare and distribute communications, maintaining professionalism and timeliness.
  • Handle expense reporting and manage personal business-related expenses discreetly.
  • Screen calls, route messages, and manage correspondence effectively.

Job Requirements

  • Bachelor’s degree, preferably in liberal arts, required.
  • Minimum 5 years of experience as an Executive Assistant in investment management or related industries.
  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent communication and interpersonal skills, adaptable to various styles.
  • Resourceful problem-solving abilities and proactive approach to challenges.
  • Experience in managing confidential information with discretion and judgment.
