Job Description

Overview

  • Provide high-level administrative support to executives, ensuring efficient operations and prioritization of critical tasks.
  • Coordinate complex schedules, meetings, and travel arrangements for seamless executive operations.
  • Prepare, track, and reconcile expense reports with accuracy and timeliness.
  • Draft and edit professional correspondence, presentations, and documents on behalf of executives.
  • Monitor deadlines, action items, and deliverables to ensure organizational efficiency.
  • Act as a liaison between executives and stakeholders, maintaining professionalism and discretion.
  • Support team events, offsites, and leadership initiatives with logistical execution.
  • Collaborate with other Executive Assistants to ensure consistent coverage and cross-team collaboration.

Key Responsibilities & Duties

  • Manage complex executive calendars, resolving conflicts and anticipating needs.
  • Arrange and oversee domestic and international travel, including last-minute adjustments.
  • Coordinate internal and external meetings, ensuring agendas and follow-ups are handled seamlessly.
  • Draft, edit, and prepare correspondence and presentations for executives.
  • Monitor deadlines and deliverables to ensure organizational efficiency.
  • Act as a proactive partner to executives, prioritizing time and objectives.
  • Support team events and leadership initiatives with logistical execution.
  • Handle sensitive and confidential information with utmost care and judgment.

Job Requirements

  • Bachelor of Arts (BA) degree required.
  • 4–7 years of experience supporting C-level executives, preferably in financial services or high-growth companies.
  • Proficiency in Microsoft Office Suite; familiarity with collaboration tools like Zoom, Slack, and Concur is a plus.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills with a high degree of professionalism.
  • Ability to manage multiple priorities in a fast-paced environment.
