Overview
- Serve as a vital support role, ensuring smooth administrative operations and excellent customer service for the client’s on-site location.
- Perform data entry and updates in operational systems, maintaining accurate records and logs.
- Provide front-desk coverage, greeting visitors, answering calls, and scheduling meetings for the management team.
- Assist with building maintenance coordination, supporting work orders and extermination procedures per established protocols.
- Support resident move-in processes, including scheduling and updating tracking sheets.
- Maintain an organized office environment by ensuring supplies are stocked and shared spaces remain professional.
- Collaborate on team projects, providing administrative assistance and documentation support as needed.
- Facilitate communication flow by dispatching management support and transferring calls appropriately.
- Coordinate event supplies, tracking and organizing materials for onsite activities.
Key Responsibilities & Duties
- Perform timely data entry and updates in Yardi, REX, and other tracking systems.
- Provide front-desk coverage, greeting residents, clients, and visitors professionally.
- Respond to resident and customer inquiries via phone, email, and in person, ensuring satisfaction.
- Assist the Resident Manager with work orders and maintenance coordination.
- Support move-in processes by scheduling and updating tracking sheets.
- Maintain office organization, ensuring supplies are stocked and spaces are clean.
- Record daily operational updates in Yardi memos and shift logs.
- Assist in team operations and special assignments as required.
- Coordinate materials for onsite events and activities.
Job Requirements
- Bachelor of Arts (BA) degree required.
- Minimum of 1 year of administrative experience; 2 years preferred.
- Proficiency in Yardi software is a plus but not mandatory.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to manage multiple tasks and prioritize effectively.
- Experience in customer service and front-desk operations.
- Familiarity with office equipment and software tools.
- Flexibility to work onsite during specified hours.
