Job Description

Overview

  • Serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment.
  • Manage front desk operations, including answering phones, handling inquiries, and directing visitors appropriately.
  • Maintain a clean and organized reception area to uphold the company's professional image.
  • Coordinate and schedule appointments, meetings, and conference room bookings as needed.
  • Assist with administrative tasks such as data entry, correspondence, and document management.
  • Support office operations by managing mail distribution and maintaining office supplies inventory.
  • Collaborate with various departments to ensure smooth communication and operational efficiency.
  • Provide exceptional customer service to internal and external stakeholders.

Key Responsibilities & Duties

  • Greet and assist visitors, ensuring a positive and professional experience.
  • Answer and route incoming calls promptly and accurately.
  • Manage scheduling and booking of conference rooms and appointments.
  • Perform administrative tasks such as filing, data entry, and correspondence.
  • Coordinate mail handling, including sorting, distributing, and shipping.
  • Maintain inventory of office supplies and place orders as needed.
  • Ensure the reception area is clean, organized, and presentable at all times.
  • Collaborate with team members to support office operations and special projects.

Job Requirements

  • Bachelor of Arts (BA) degree or equivalent educational background.
  • Minimum of 2 years of experience in a receptionist or administrative role.
  • Excellent communication and interpersonal skills for effective interaction with diverse groups.
  • Proficiency in Microsoft Office Suite and other administrative tools.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Attention to detail and problem-solving skills to address operational challenges.
  • Ability to work on-site during standard business hours (8 AM – 5 PM).
