- Manage administrative operations for a dynamic design firm, ensuring seamless coordination and efficiency.
- Oversee scheduling, travel arrangements, and event planning for firm principals and directors.
- Lead marketing and PR initiatives, including press placements, award submissions, and social media management.
- Coordinate photoshoots, manage assets, and assist in art direction and styling efforts.
- Handle people operations, including onboarding, HR support, and IT coordination.
- Maintain inventory, materials library, and vendor presentations for design projects.
- Plan and execute staff events to foster company culture and team bonding.
- Host office guests, including clients, vendors, and business meetings.
- Provide logistical and design support for special projects and installations.
Key Responsibilities & Duties
- Coordinate schedules, travel, and meetings for firm principals and directors.
- Manage marketing efforts, including press relations, award submissions, and social media oversight.
- Organize photoshoots, assist in styling, and manage assets for promotional use.
- Oversee HR functions, including onboarding, benefits support, and IT requests.
- Maintain inventory and materials library, ensuring efficient sample management.
- Plan and execute team bonding and industry networking events.
- Host office guests and ensure a welcoming environment for meetings.
- Support logistics and design for special projects, including styling and installations.
- Collaborate with warehousing partners to maintain company inventory.
Job Requirements
- Bachelor of Arts (BA) degree required, preferably in design, architecture, or related fields.
- Minimum of 3 years of experience in office management or administrative roles.
- Strong organizational and multitasking skills with a Type A personality.
- Experience in marketing, PR, or event planning is highly desirable.
- Proficiency in managing schedules, travel arrangements, and team coordination.
- Ability to work on-site Monday-Thursday and remotely on Fridays.
- Energetic and adaptable to managing diverse tasks and responsibilities.
- Excellent communication skills and ability to liaise with clients and vendors.
- Familiarity with design industry practices and standards is preferred.
